Media and artwork

Bring your existing content onto screen

Use your own photographs, videos and presentations alongside content made in DisplayFlow. Keep reusable assets in one media library and choose how they appear in your playlists.

DisplayFlow media upload controls for adding images and videos
Add your own photographs and videos to the media library.

Images, videos and URL imports

Upload your photos and videos, import public media URLs and organise reusable content in one library.

More detailLess detail

Upload images and videos individually or bring supported media together in a ZIP file. Import a directly accessible public image or video URL when your content is already hosted online.

Organise files in folders, set titles and display durations, and preview assets before adding them to a playlist. URL imports copy the media into your library; they are not an automatic feed from the source.

Folder-based slideshows

Keep an image folder playing as a reusable slideshow, with sequential or random playback.

More detailLess detail

Turn an image folder into a slideshow with sequential or random playback. Add or remove active images in the folder to change the slideshow without rebuilding every playlist item.

Use a dedicated folder for a product range, a salon portfolio, local photographs or a set of advertiser graphics. The same saved slideshow can be reused in your running orders.

Create a slideshow →

PDF and PowerPoint imports

Turn supported documents and presentations into still images, ready to use in your screen playlists.

More detailLess detail

Upload a PDF, PPT or PPTX and convert its pages or slides into images for your media library. Put the results in a dedicated folder to use them in order in a slideshow.

Imports support documents up to 25 MB and 50 pages or slides, subject to server limits. PowerPoint animations, transitions, audio and embedded video are not retained; use a video file when motion matters.

AI media with reference images

Create promotional artwork from a description, with an optional reference image to guide the result.

More detailLess detail

Describe a promotion, event or announcement and generate portrait or landscape artwork. An existing library image can guide colours, style, composition or subject.

Review the result before saving it to your library. Each successful generation uses an AI credit, including images you do not keep. Check wording, prices and dates, and use genuine photographs where customers need to see the actual product, property or service.

Editable content

Create menus, schedules and information pages

Content builders keep the information editable. Change a menu price, a class time or a property detail in the dashboard, then let connected screens receive the update through their normal sync.

Build editable menus with content, prices and design controls.

Menu Studio and digital menu boards

Build editable food and drink menus, update prices and availability, and prepare different pages for each service.

More detailLess detail

Build menus from pages, sections and items, with descriptions, prices and optional photographs. Choose layouts, colours and typography, preview portrait or landscape, and protect a layout while allowing the permitted daily edits.

Mark items or sections sold out and maintain different pages for drinks, food or meal deals. Combine menu pages with offers in a playlist, then use a schedule for breakfast, lunch and evening service.

Explore Menu Studio →

Events and calendar imports

Show event times, dates and locations, and import published calendar information when you need an update.

More detailLess detail

Create event pages with times, dates, locations and recurring entries. Use them for hotel conferences, pub entertainment, venue programmes or community notices.

Append up to 500 entries from CSV, an iCal file or a published public iCal URL, including calendars published by Google or Outlook. Choose responsive layouts and preview the result. Importing a calendar is an explicit action rather than a promise of continuous calendar synchronisation.

Event pages and imports →

Class and venue timetables

Create weekly or daily class schedules so visitors can find the right activity, time and room.

More detailLess detail

Build full-week, weekday, weekend or daily agenda screens for classes and sessions. Rows can hold activity names, times and room or location information, with styling suited to the chosen template.

Duplicate an existing timetable when you need a similar schedule for another room or day. A gym reception can show the week ahead while a studio screen shows the information relevant at its door.

Timetable guide →

Property and room-hire pages

Present property or room-hire details with real photographs, relevant information and a layout suited to your screen.

More detailLess detail

Create photo-led residential, commercial, sale, rental or room-hire listings. Add only the details you want to display, such as price, capacity, facilities, hire rate or booking information.

Choose image-led layouts, colours and heading and body typography. Use real photographs from your library, preview the finished page, and give an agency window or venue reception its own property playlist.

Property and room-hire guide →

Recruitment and job adverts

Show vacancies with one picture, job information and the standard or custom headings your applicants need to read.

More detailLess detail

Create a reusable job advert with a title and one picture from your media library. Add location, salary or pay and a description, then choose details such as Job Type, Working Hours, Experience, Qualifications and How to Apply.

Job Type includes Full-Time, Part-Time, Temporary and other options. Add custom headings, choose one of three layouts and adjust colours and fonts. Preview the advert, then add it to a playlist alongside your other screen content. Use playlist item expiry or deactivate the job when the vacancy closes.

Web pages and RSS headlines

Add compatible public web pages and formatted RSS headlines alongside your own information and promotions.

More detailLess detail

Save a compatible hosted web page as playlist content, or format an RSS feed as a headline screen. This can put existing public information alongside your own notices and promotions.

Preview the source on the intended player. Websites may block embedding or require login, and live pages and feeds depend on connectivity and the provider keeping the source available.

Publishing

Choose what plays, where and when

A screen can run one playlist all day or switch between planned playlists. Keep each display relevant to its location while reusing content across the business.

DisplayFlow schedule settings for choosing playlists by day and time
Plan which playlist runs at different times of day.

Playlists and item expiry

Arrange saved content into a running order for each screen, with durations and expiry for time-limited items.

More detailLess detail

Combine media, menu pages, events, timetables, properties, recruitment adverts, slideshows and other saved content in a running order. Set item durations and arrange the sequence for each screen.

Use item expiry for time-limited content, so a promotion can stop appearing after its deadline. Preview the playlist before publishing and use different running orders when screens have different jobs.

Playlist guide →

Day and time scheduling

Switch between prepared playlists by day and time, with priorities and fallback content for the gaps.

More detailLess detail

Prepare separate playlists for breakfast, lunch, evening offers, classes or events. Schedule rules select content by day and time, with priorities and a fallback playlist for the gaps.

Assign the schedule to the screens that need it. A screen that needs the same information all day can keep a direct playlist assignment; schedules are optional.

Schedule guide →

Reusable screen overlays

Reuse logos, text, QR codes and clocks across a screen or on individual playlist items.

More detailLess detail

Create text, date, time, QR code and image or logo overlays. Set the position, colours and size, then reuse a saved overlay on one playlist item or across a whole screen.

A screen overlay can stay visible across direct, scheduled and fallback playlists. An item-specific overlay takes priority while that item plays. Preview QR codes at the actual viewing distance before publishing.

Overlay guide →

Scrolling tickers

Carry short announcements alongside your main content, with timed screen assignments and adjustable colours and priorities.

More detailLess detail

Add scrolling announcements with colours, optional badges or clocks, priorities and timed screen assignments. Use them for opening-hour changes, service notices or short reminders alongside the main content.

Choose the destination screens and active window for each message. Keep the text short enough to read comfortably and check it against the rest of the screen layout.

Ticker guide →

Information and messages

Keep screens useful between promotions

Give people something relevant to read while they wait, train or move through your venue. These pages and messages use the same screen and playlist system as your main content.

Clocks, world clocks, countdowns and weather

Add useful clocks, countdowns and weather information, with layouts and backgrounds chosen for your venue.

More detailLess detail

Create a local clock, up to eight named world clocks, an event countdown or a weather page. Choose the layout, colours and an optional background image from your library.

Use a countdown for an upcoming opening or event, or weather for guests planning their day. Accurate clocks depend on the player’s time; weather needs connectivity to refresh and can show the last available forecast when offline.

Special pages guide →

Quiz questions in your signage loop

Mix fixed or random quiz questions into your signage loop, with answer choices, countdowns and reveals.

More detailLess detail

Add a fixed question or a random question from active categories to a playlist. Questions can include media, answer choices, a countdown and an answer reveal.

Mix a few quiz slides with offers or waiting-room information, choose eligible categories and customise their colour themes. These are signage quiz slides played as part of the content loop.

Quiz slides guide →

Screen Override and staff messages

Queue temporary order-ready numbers or room-call messages for a screen, with an optional chime when supported.

More detailLess detail

Prepare named message settings with a destination screen, colours, duration and optional chime. Send an order-ready number or room-call message from admin or the separate staff sending page.

Messages enter a queue for the player’s next check-in and temporarily replace normal content. Playback resumes afterwards. Delivery depends on connectivity and queued messages; the chime also needs working speakers and browser audio permission where required.

Message setup and staff sending →

Screen management

Run one screen or several locations

Manage content and assignments from a phone, tablet or computer. Each screen has its own connection, location and content assignment, so reception, counter and window displays can serve different purposes.

Android and browser playback

Connect your screen using the DisplayFlow Android player or a compatible browser device, with an optional Signage Stick.

More detailLess detail

Use the DisplayFlow Android player or a compatible browser device. An optional Signage Stick provides a dedicated player for a suitable TV or monitor.

Create a screen in the dashboard, then use its connection code on Android or open its generated player link in a browser. Check the display’s orientation and preview your content before putting it into daily use.

Connect a player →

Dashboard and screen monitoring

Review screen check-ins, connection status and assignments from your dashboard to spot displays needing attention.

More detailLess detail

See recent screen check-ins, assignments and connection status in the dashboard and screen list. Identify screens that have stopped reporting and inspect what each display is assigned to play.

Monitoring tells you what the player has reported. Check the physical TV when you need to confirm its power, input, picture or sound.

Dashboard and monitoring guide →

Alert levels and email notifications

Choose alert levels for each screen and receive email notifications when players miss their expected check-ins.

More detailLess detail

Choose critical, standard, low priority or no alerts for each screen. Email notifications flag screens that miss their expected check-ins, so important displays can get attention first.

Use higher priority for a main menu board and a quieter setting for a less critical promotional screen. An alert indicates a reporting issue to investigate; it does not automatically repair a network or TV fault.

Mobile updates and multiple locations

Manage content and screen assignments from your phone, tablet or computer, across one venue or several locations.

More detailLess detail

Edit content, switch assignments and organise screens by location or purpose from the same account. A manager can maintain a shared offer while giving each branch, room or screen its own playlist.

Changes reach connected players as they sync. This supports routine remote updates without requiring someone to visit every display or manually swap media files.

Manage screens and groups →

Cached media and offline playback

Keep downloaded media playing during a connection loss on a suitable, prepared signage player.

More detailLess detail

Downloaded media can continue through a connection loss on a suitable, prepared player. Let the content download while connected, then test the actual screen and playlist before relying on offline playback.

New content and updates need connectivity, while live web pages and feeds may remain unavailable. Check the actual player and content mix before relying on offline operation.

Business and account tools

Manage the work around your screens

Keep advertiser administration and account settings close to the content workflow. You choose what reaches your screens; administrative records do not publish an advert automatically.

DisplayFlow advertiser form for contacts, payment terms and campaign records
Keep advertiser contacts and agreed terms together.

Advertiser records and payment terms

Keep advertiser contacts, agreed rates, payment terms and status together, with branded agreement summaries when needed.

More detailLess detail

Store advertiser contacts, agreed rates, payable terms, start and end dates, payment status, invoice references and internal notes. Standard terms can calculate the payable total and term end date.

Send a company-branded agreement summary when you need to confirm the arrangement. These records help you track the business relationship; they do not automatically issue invoices or collect advertiser payments.

Private artwork requests and promotion screens

Collect one graphic through a private upload link, then review and choose approved artwork for your screens.

More detailLess detail

Email a private, single-use upload link for one JPG, PNG or WebP graphic. Submitted artwork enters your Media Library for review without giving the advertiser access to the dashboard.

A ready-made promotion screen bank helps advertise available screen space in your venue. Add a chosen design to Media, then select which approved graphics belong in playlists, schedules and screens.

Account features, billing and referrals

Manage your account details, available features, billing, AI credit information and referral tracking from your profile.

More detailLess detail

Use Profile to manage account details, password and available two-factor login settings, choose optional feature sections, review your subscription and see AI credit information.

Feature controls let you keep the admin focused on the tools your business uses. Referrals provides an account link and referral tracking, subject to the scheme’s eligibility terms. Review affected playlists before disabling content features already in use.

Feature questions

Planning your setup.

Can I show recruitment adverts on my screens?

Yes. Create a job advert with one picture, a job title and optional location, salary and description. Add standard details such as Job Type and Working Hours, or use your own headings, then preview it and add it to a playlist. Set playlist item expiry or deactivate the job when it should stop appearing.

Can different screens show different content?

Yes. Assign a playlist or a schedule to each screen. A café counter can show a menu while a window shows offers; a hotel reception and meeting area can have different information. Reuse content where useful and choose assignments for each display.

Can content change automatically during the day?

Yes. Build separate playlists and use schedule rules for the relevant days and times, with a fallback playlist between rules. Use item expiry for content that should stop appearing after a deadline. A direct playlist is enough when a screen should show the same running order all day.

Can I use an existing TV or monitor?

Often, with a suitable player. DisplayFlow supports its Android player and compatible browser devices, and offers an optional Signage Stick. Browser capabilities and power recovery vary by device, so check your intended equipment and content before committing to a rollout.

Can I import a PDF or PowerPoint presentation?

Yes. Direct PDF, PPT and PPTX uploads can be converted into page or slide images for the media library, within the document and server limits. PowerPoint animations, transitions, sound and embedded video are not retained. Use a video file when those moving elements are needed.

What keeps working when the internet connection drops?

Downloaded media can continue on a prepared player. New content and new screen messages need the connection to return. Live web pages, RSS and weather updates depend on their sources and connectivity. Test your actual content and device before relying on offline playback.

Are Screen Override messages instant?

Messages queue for the player’s next check-in. Once an active setting is detected, online players check every 30 seconds; first detection can take the previously configured heartbeat interval. Connectivity, browser throttling and earlier queued messages affect delivery, so an immediate display time is not guaranteed.

Do AI images use credits?

Yes. Each successful AI generation uses one credit, even if you do not keep the image. Review your included balance and available credit packs in your account. Reference images guide generation and do not guarantee an exact reproduction, so check the output before publishing it.
